Opportunity




The Facilities Supervisor is responsible for a range of duties relating to facilities management, security, operations, and monitoring of Pharo School’s Nairobi environment including the management and supervision of contractors on site.


 


The role will entail working with the Operations Manager to ensure that the school buildings, facilities and grounds are maintained to the highest possible standard, are in a proper working condition ensuring compliance with relevant Health & Safety legislation to provide a safe environment for all learners, staff members and visitors.


 


The role will work with the Operations Manager in support of future developmental activity e.g. new builds, paintwork, installations etc.

Duties and Responsibilities




Facilities Maintenance



  • Scheduling and supervising the day-to-day maintenance and support of school buildings, landscaping, utilities and facilities. This includes overseeing contractors who perform installation, inspection, repair, and maintenance tasks on various building systems (mechanical, electrical, plumbing, HVAC, etc.) as well as aspects such as painting, carpentry, safety protocols, and waste management.

  • Prioritizing and costing all works to ensure value for money, including seeking quotes/estimates/tenders for repairs and development work and projects.

  • Completing paperwork associated with orders, invoices, deliveries, and distributing them for approval by the Operations Manager and Finance Department.

  • Directing contractors to specified work and to monitor their progress and quality of work undertaken, reporting on the standard and completion of all work.

  • Proactively monitoring facilities (electrical, mechanical, plumbing) and ensuring equipment functionality, reporting any faults to the Operations Manager.

  • Supporting with the procurement of furniture, school supplies such as kitchen and sanitation supplies etc.

  • Overseeing waste management, garbage collection, school supplies deliveries and other operations.

  • Inspecting school buildings and grounds to ensure proper safety, cleaning, and sanitation standards.

  • Coordinating use of school facilities with staff and supporting in the planning of major School events internally and externally.

  • Monitor CCTV footage of the school to ensure security of all learners, staff and visitors.

  • Work with the school’s outsourced security company to report any security breaches e.g. incidents of vandalism, or unusual wear and tear to the Operations Manager




Health & Safety



  • Conducting proper and timely assessments of health & safety risks, implementing necessary measures and arrangements identified as necessary from assessments.

  • Ensuring the school complies with the health and safety requirements e.g. ventilation, lighting, waste management, sanitary and washing facilities.

  • To work with security team to support in securing all classes and offices after school hours.

  • To be first point of contact for the external security providers. Responding to queries, emergency calls etc.


 


Supervising Support Staff



  • In collaboration with the Sanitation Team Leads, planning, assign, and manage the cleaning schedules of the sanitation teams.

  • Plan, assign and manage the work of groundskeeper engaged in maintenance and care of trees, flowers, grass, shrubs, lawns etc.

  • Supervising cleaning staff to ensure cleaning schedules are followed and tasks are completed to a high standard; conduct regular inspections of cleanliness across all campuses to identify areas for improvement or attention

  • Ordering cleaning supplies and equipment necessary for sanitation efforts and ensuring their proper use and storage.

  • Ensuring that staff in the kitchen and sanitation departments maintain a hygienic and professional appearance, uniform being worn at all times and kept in a clean and tidy condition.




Minimum Requirements



  • A bachelor's degree or diploma in procurement, facilities management, engineering, business administration, or a related field.

  • A least two (2) years post qualification work experience in a similar role.

  • A clear understanding of local laws related to facilities, buildings, assets, safety etc.

  • Excellent verbal and written communication skills.

  • Ability to multitask, prioritize, and manage time efficiently.

  • Ethical conduct.

  • Ability to work within a team.

  • Professional, proactive and solution focused in your approach.

  • Strong persuasive and negotiating skills and a commercial flair for business.
